Terms of Service
Last updated October 6, 2026
These terms are an agreement between you and Accessible Ethical Apps LLC, a New Mexico limited liability company (“MedalRound”, “we”, “us”), covering the MedalRound website, app and services. By creating an account, registering for a tournament or running one, you agree to them. If you do not agree, do not use MedalRound.
1. What MedalRound is, and is not
MedalRound is software that lets a tournament director publish an event, take registrations, schedule matches and score them, and lets players find events, register and follow the results.
MedalRound does not run the tournaments. The tournament director is the organizer. They set the entry fees, the divisions and formats, the eligibility rules, the schedule, the refund policy and the waiver, and they run the event itself. MedalRound is not the organizer, host, promoter or sponsor of any tournament, and is not a party to your entry.
2. Accounts
You must be 18 or older to hold a MedalRound account or to register for a tournament, and you confirm that you are when you register. A parent or legal guardian who is 18 or older can register a player under 18 on a tournament’s sign-up form on medalround.com. The parent or legal guardian confirms they are that player’s parent or legal guardian, accepts these terms and the tournament’s waiver for the player and for themselves, and is the contact for every email and change about that registration. The player’s details, including the date of birth, must be true. MedalRound does not verify that they are. Give accurate information, keep one account for yourself, and keep your sign-in credentials to yourself. You are responsible for what happens under your account. A director may add helpers to a tournament, each with their own MedalRound account, and the director is responsible for what helpers do in that tournament. MedalRound may suspend or close an account that abuses the service, breaks these terms, or is used to misrepresent someone else.
3. Registering for a tournament
A registration is an entry into the director’s real-world event, subject to that event’s rules. An entry is only confirmed once payment has succeeded (where there is an entry fee) and the tournament’s own conditions are met: you press Confirm my email in the confirmation email (where there is no entry fee), your partner accepts an invitation, or a place comes free from the waitlist. Until then your entry waits for that button, a payment, a partner or a place, and your registration page on medalround.com shows its current status.
Sign-ups for a tournament close at the end of the day the director sets as its Last day to sign up, in the time zone where the tournament is held. When the director sets no such day, or one after the last day of play, sign-ups close at the end of the last day of play. After sign-ups close, the tournament’s sign-up form takes no new registration, and MedalRound refunds in full, including the $5 service fee, a payment made after then, even when its checkout began before. A place offered from the waitlist can still be paid for after sign-ups close, within the time the offer email gives, but not after the end of the last day of play.
On a registration for a player under 18, the parent or legal guardian is the registration’s contact. Every email, link, receipt and registration page for that player goes to them, and they answer partner invitations and partner requests for the player. One email address can have at most 8 players under 18 counting per tournament. A player counts for 24 hours after their sign-up, and after that only while a sign-up is active and was confirmed from its email or paid for.
4. Entry fees are paid to the director
Tournament entry fees are fees for real-world, in-person pickleball events, and they are collected by the tournament director through the director’s own Stripe account. MedalRound never holds your entry fee and never takes possession of the director’s funds. Your card statement shows the name on the director’s Stripe account. Card details are entered on Stripe’s hosted checkout page and are handled by Stripe, not by MedalRound. Payment is also subject to Stripe’s terms.
If you use the MedalRound app, you also agree to the rules of the app store you installed it from. Because entry fees buy admission to a physical event and not digital content, they are not processed as in-app purchases.
5. Our service fee
- Players pay a $5 service fee per player per tournament, however many divisions they enter.
- A tournament with no entry fee carries no service fee. It costs the player nothing.
- Directors pay MedalRound nothing. Stripe’s own processing fees are charged to the director’s Stripe account under the director’s agreement with Stripe.
- The service fee is itemized on the tournament’s sign-up form before you pay, and is collected with your entry fee in the same checkout.
6. Refunds and cancellations
Each director sets their own refund policy as a set of tiers, for example full refund up to 30 days out, half up to 7 days, none after that. The policy in force is shown on the tournament page before you pay, and the exact refund is shown again before you confirm a cancellation. Your refund is the tier that applies on the day you cancel.
- Our $5 service fee comes back when you cancel your last paid division in full. If you keep any paid division, or your refund is a partial tier, the fee stays.
- If the director cancels your division, you get back everything that division added to your price, whatever the refund policy says, and the $5 service fee too when it was your last paid division. If they cancel the whole tournament, every entry of yours still registered that was paid on MedalRound is refunded in full, including the $5 service fee.
- Refunds are paid out of the director’s Stripe balance and normally reach your card in five to ten business days. If a refund fails, for example because the director’s balance is short, MedalRound tries it again on later days, up to five tries in all, and emails you when it goes through. After the fifth failed try, the director can try the refund again from the tournament’s Registration tab, or settle it with you directly.
- Anything else about the event (eligibility, divisions, formats, seeding, scheduling, conduct, weather, venue or results) is between you and the director. Contact them first; the tournament page carries their contact email when they provide one.
7. Waivers
Most tournaments require you to accept the director’s liability waiver before you can enter. That waiver is an agreement between you and the director. MedalRound records the name you typed, which version you accepted and when, and on a registration for a player under 18, that a parent or legal guardian signed it and for which player. MedalRound is not a party to it.
A director can use the standard waiver MedalRound supplies or write their own. The standard waiver is a starting point, not legal advice, and MedalRound does not promise that any waiver will be enforced.
On a registration for a player under 18, the parent or legal guardian accepts the waiver for the player and for themselves. In the waiver a parent or legal guardian accepts, every statement speaks for both the player and the parent or legal guardian, except that a statement about being fit to take part is about the player alone and a statement of age is about the parent or legal guardian alone.
8. If you run tournaments
As a director you are responsible for your event and for the people at it: accurate listings, lawful and properly insured events, your own refund policy and waiver, honoring the entries you accept, and any permits, taxes and reporting your event requires. You connect your own Stripe account and agree to the Stripe Connected Account Agreement. Online payments are available only through a Stripe account based in the United States. Registrant information reaches you so you can run the event. Handle it accordingly, use it only for that, and follow the law that applies to you. You agree to indemnify MedalRound against claims arising from your event or your handling of registrant information.
If a player disputes a charge with their card issuer, the dispute is on your Stripe account. Stripe takes the disputed amount and its dispute fee from your balance while the dispute is open, and you answer it in your Stripe dashboard. If you lose, MedalRound returns its $5 service fee on that payment to your Stripe account.
By uploading a club logo or adding a Hosted by name or an About this tournament text, you confirm that you have the right to use them and to let MedalRound show them publicly with your tournament. MedalRound may hide a tournament whose logo or text breaks these terms. Once a tournament is hidden, its logo cannot be copied to another tournament, and MedalRound may hide any tournament the logo was copied to before.
The first account to turn on a club page for a Hosted by name holds that club page address. By turning on a club page, you confirm that you have the right to use the Hosted by name and to let MedalRound show it publicly with the tournaments the page lists. The account that holds a club page can add another account’s tournament to it when that tournament’s Hosted by name makes the same address and the tournament is on the tournament list on the MedalRound home page. That tournament leaves the page when, for example, its director or a co-director changes its Hosted by name, unpublishes it or archives it before its last day of play ends, or when the club page’s account takes it off. A club page lists at most the 24 most recent past tournaments, so an older one leaves it. MedalRound may take down a club page, so that its account cannot turn it on again, or move its address to another account, when the page breaks these terms, or when the club the page names asks for the address and shows that it runs the club.
9. Acceptable use
Do not scrape, probe or interfere with the service; do not try to reach accounts, data or systems you are not entitled to; do not register in someone else’s name, except as a player’s parent or legal guardian under section 2, or with information that is not yours to give; and do not post unlawful, harassing or infringing content. MedalRound may hide a tournament from the MedalRound home page and from its public pages, remove content, and suspend accounts that break this section.
10. Availability
MedalRound is provided as it is. MedalRound works hard to keep the service running on tournament day, but does not promise uninterrupted or error-free service, and features used at a venue depend on the connectivity there. MedalRound may change, suspend or discontinue parts of the service.
11. Disclaimers and limits
To the fullest extent the law allows, MedalRound is provided without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement. MedalRound is not responsible for injury, loss or damage arising at or from a tournament, or for a director’s acts or omissions.
To the fullest extent the law allows, MedalRound is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits or data. MedalRound’s total liability for any claim is limited to the greater of the service fees you paid MedalRound in the twelve months before the claim, or fifty US dollars. Nothing here limits rights that cannot be waived under the law that applies to you.
12. Ending your use
You can stop using MedalRound at any time and delete your account at medalround.com/account/delete. Deleting your account does not cancel entries you have already made or undo payments. Cancel the entry first if that is what you want. If you direct a tournament on MedalRound that is published, has entries or registrations in it, or is connected to Stripe to take payments, that page cannot delete your account, because only that account can give the tournament’s players refunds, cancel it or change its Stripe connection. MedalRound cannot move a tournament to another account. To have the account deleted, cancel the tournament with Cancel tournament in its Tournament actions menu, or wait until it is over, and once every refund it owes has gone through, use the Request your data form at medalround.com/account/delete and MedalRound will delete it. A tournament that is unpublished, has no entries or registrations and is not connected to Stripe does not stop you, unless you direct more than 50 tournaments, and deleting your account never deletes a tournament. Sections 4, 6, 8, 11 and 13 survive the end of this agreement.
13. Governing law
These terms are governed by the laws of the State of New Mexico, United States, without regard to its conflict-of-laws rules, and the state and federal courts sitting in New Mexico have exclusive jurisdiction over any dispute, except that either of us may bring a claim in small claims court.
14. Changes and contact
If these terms change we update the date at the top of the page. That date is the only notice of a change. For questions about these terms, use the Request your data form at medalround.com/account/delete. Our Privacy Policy explains what we do with your information.
