Answers for tournament directors and for the players who enter their tournaments.

For directors

Getting paid

Players pay entry fees by card on Stripe’s checkout page. Each payment goes into your Stripe account, and MedalRound never holds the entry fees.

A player who pays an entry fee also pays MedalRound’s $5 service fee, once per tournament. You pay MedalRound nothing.

Stripe takes its card fee out of each payment and sends what is left to your bank on the payout schedule in your Stripe account.

Press Connect Stripe on the Registration tab of your first tournament with an entry fee. Each later tournament uses the Stripe account you connected last.

Taking entry fees online needs a Stripe account in the United States.

Refunds

Your refund policy sets how much a player who cancels gets back, based on how many days before the tournament’s start date they cancel.

A new tournament starts with this policy: Full refund until 14 days before, 50% until 7 days, none after. You can change it or set no refunds in the Policies card on the tournament’s Registration tab.

To copy a past tournament’s policy, press Create tournament on My tournaments and keep Use details from past tournament and Refund policy checked.

Players see your policy before they pay, and a player who cancels sees the exact refund before confirming. Refunds are paid from your Stripe balance.

When you cancel the whole tournament, every entry still registered that was paid on MedalRound gets a full refund, plus the $5 service fee once per player.

Waivers

A new tournament starts with a standard waiver that MedalRound wrote.

To copy a waiver you saved on a past tournament, press Create tournament on My tournaments and check Use details from past tournament and Waiver.

The Policies card on the tournament’s Registration tab shows the waiver to read and edit, and asks you to read a copied one before sign-ups open.

Each player accepts the waiver before entering, and MedalRound records which version each player accepted and when.

The standard waiver is a starting point, not legal advice. Check its wording with your facility or your insurer.

Your player data

The Registration tab shows you each player’s registration so you can run your event.

Download list on the Registration tab saves your confirmed players as a spreadsheet file.

MedalRound’s Terms allow you to use player information only to run your event.

MedalRound does not sell player information or share it for advertising.

Player ages

A parent or legal guardian signs up a player under 18 on the tournament’s sign-up form, by choosing “A player under 18, as their parent or legal guardian” under “Signing up for”.

Every email about that registration goes to the parent or guardian’s email address.

Public pages show a player under 18 by first name and last initial.

Your Registration tab and Players tab show the full name. The Registration tab also shows who signed the player up and the player’s age on the tournament’s start date.

For a junior division, type an age range under 18, such as 14 as the oldest age for 14 and under, in the Who can enter card on a division’s Format tab or on the Add divisions page.

Sanctioned events

MedalRound is not on USA Pickleball’s list of approved tournament software.

A tournament sanctioned by USA Pickleball cannot use MedalRound yet.

Internet at the venue

If the connection drops while the Tournament day tab is open, you can still check players in and call matches. MedalRound saves those changes when the connection comes back.

Entering scores and changing matches have to wait until you are back online.

Plan for venue Wi-Fi or a phone hotspot.

Running a tournament with helpers and several devices

You can be signed in to your MedalRound account on several of your own devices at once, such as your phone and a tablet at the check-in desk. Keep your own sign-in to yourself.

To have other people help, add them from the Helpers card on your tournament’s Overview tab. Each helper signs in with their own MedalRound account, and the role you pick decides what they can do.

Only you can connect Stripe, change prices, the refund policy or pairing deadlines, give refunds, cancel the tournament, cancel or restore a division, and add, change or remove helpers.

Only a tournament’s director can turn on a club page, from the tournament’s Overview tab, and only the account that turned it on can turn it off or add other accounts’ tournaments to it.

A co-director also cannot take a step that would make MedalRound refund a player or change how much a refund is, such as closing sign-ups while a paid player is waiting for a partner.

For players

Finding your registration

The email you got when you registered has a Manage my registration button, which opens your registration page.

If you lost that email, press Find my registration on the tournament’s public page and enter the email address you registered with.

If that address is registered for the tournament, MedalRound sends it an email with a new Manage my registration button.

You can also create a MedalRound account with that same email address. After you confirm the address, My registrations lists every registration made with it.

Refunds

Each tournament’s director sets its refund policy, and the tournament’s public page shows the policy before you pay.

The cancel button on your registration page shows the exact amount you get back, and you confirm before anything is canceled.

The $5 service fee comes back when your last paid division in the tournament is refunded in full, or when the director cancels the tournament while you are still registered.

Refunds go back to the card you paid with and normally arrive in five to ten business days.

Changing your partner or division

To change your partner, press Change partner on your registration page. You each keep your place and need a new partner.

If one of you joined the other’s spot in a full division, that player’s registration ends instead.

The Change partner button goes away while your team has a spot offer open, and once the schedule is set, sign-ups have closed, or the pairing deadline has passed.

After that, ask the director to change your partner.

To move to a different division, ask the director. The director can move your registration to another division.

Contacting the director

Send questions about a tournament to its director.

When the director has added a contact email, the tournament’s public page shows an Email the director link, and your registration page shows the address.
